Wizard-driven employee termination solution for error-free HR offboarding

A self-service wizard that synchronises leaving dates across HR records, reduces manual errors, and keeps termination changes under control.

Designed to simplify employee exits by updating job, salary, benefits and absence end dates consistently, with real-time previews and guided steps.

About The client

Client Under NDA

This project delivered a wizard-driven employee termination workflow that standardises how HR teams add, change, or remove a leaving date. Instead of relying on manual, inconsistent updates across multiple records, the process guides HR through a clear, step-by-step flow to capture the right inputs once and apply them consistently.

The solution automates end-date updates across connected HR records and provides clear previews of what will change before anything is committed. This improves confidence in the outcome, reduces rework when termination plans change, and helps keep job, salary, benefits and absence data aligned for cleaner reporting and audit readiness.

How It Went

The Challenge

The focus was to reduce admin effort, minimise data errors, and improve audit readiness by ensuring all impacted records remain aligned whenever a termination plan changes.

  • Manual handling of termination types was causing frequent errors and consuming 20+ hours per week.
  • Updates to job, salary and benefits were not consistently synchronised, increasing audit and compliance risk.
  • HR lacked a real-time preview of downstream impacts, leading to repeated clarification cycles.
  • Termination plans changed often, creating up to 30% additional delays through rework and inconsistencies.
  • Exit coordination relied on manual steps, increasing the risk of missed offboarding activities.

How We Did it?

Our Solution

We implemented an intuitive, wizard-based termination flow that guides HR through each step and automatically updates all linked records. The workflow supports three core actions so HR can handle real-world changes without breaking data integrity.

  • Add leaving date : HR enters a leaving date once and the system previews all affected records before applying updates across job, salary, benefits and absence allowances. The solution surfaces current allowances and supports accurate pro-rated calculations to help final settlements remain fair and consistent.
  • Update leaving date : When a leaving date changes (earlier or extended), the wizard provides a side-by-side preview of current vs new end dates across affected tables. It automatically recalculates pro-rated allowances, reducing payroll discrepancies and minimising inconsistent record states.
  • Delete leaving date : If a termination is cancelled, the leaving date can be removed and all linked end dates reset in a controlled way. The solution maintains transparency with before-and-after previews and ensures allowances are recalculated so workforce data remains accurate.

Joint Effort

The Collaboration

We worked closely with stakeholders to map termination scenarios, define which records must be updated, and agree the preview and validation rules HR teams need to trust the outcome. The delivery prioritised usability and change management, so the process remained simple for HR while reducing the need for ongoing IT involvement.

About This Project

It is an automated workflow that updates leaving dates and end dates across HR records consistently, reducing manual steps and errors during offboarding.
A wizard enforces a clear sequence, validates inputs, and applies updates across linked records, preventing mismatched end dates between job, pay, benefits and absence data.
Typically job history, salary/pay records, benefits enrolments, and absence or leave allowances should be aligned so payroll, compliance and reporting remain consistent.
The workflow should show current allowances and recalculate pro-rated values based on the leaving date, so final settlements and payroll outputs remain accurate.
Yes. A controlled delete leaving date action can reset end dates across linked records and recalculate allowances, with before-and-after previews for transparency.
Look for record synchronisation, real-time previews, audit-friendly change tracking, support for date changes, and a guided user experience that reduces admin time.
