About The Project

The new starter details were collected manually through different channels in various regions like the US, UK, Europe, and so forth, leading to a tedious process. To overcome the manual process, automating the New Starter process has been suggested. Using Sage People, a Visual Force page form was created to collect all the details via a single form across regions. To begin with, HR would collect all the employee details via the New Starter form and send it to the team head for approval. Once approved, it directly calls Azure functions, which creates the New Employee in Local Active Directory which in turn automatically updates the Azure Active Directory. Furthermore, the Azure functions call the Azure Logic Apps to send the employee data to the IT team and Payroll team to indicate a new employee has been registered into the system.

The Challenge

Fe fundinfo collected employee data manually through different channels which include email, PDF/excel documents, telephone, and so on. Each region had a different set of requirements and data which led to a complex process to integrate into a single system. Our pHRism team collaborated with the business stakeholders to refine requirements for the integration of the enterprise systems that are key to the client’s needs. We gathered information across different regions and figured out a generic form to avoid redundant and recurrent data. Work within the core service teams, focusing on data governance, availability, process automation, and adhering to all standard company and project principles. Although enabling hybrid Azure AD might sound appealing, there are specific deployment scenarios that present some rather unique and challenging problems when connected through a private VPN.

Fe fundinfo was facing challenges in gathering the information across regions manually for further research and analysis to deliver the product within the timeline of their annual releases. Following all the challenges faced by the company as a leading investment industry, Fe fundinfo explored the market to find a new HR partner. How we did it?

Our Solution

Our pHRism team initiated the process by gathering data requirements from diverse regions to develop a generic form which includes all the metadata’s across various countries. The team of professionals with extensive domain knowledge in various CRM platforms has worked from day one to collaborate the acquired details into a most generic and comprehensive system. Model the “as is” state for any integration work and design the “to be” solution, working closely with Development and Architecture teams to agree on the best approach.

Visual Force Page form was developed using Sage People where the HR team collected all the necessary attributes from their clients. Those data are sent to team managers for the approval process. Post approval the employee data are sent to the Local Active directory which is connected through a Private VPN using Azure Functions. A new employee is created in Hybrid AD and the same is updated in Azure AD. In addition to that, Azure functions call the Azure Logic Apps to send the updated employee data to the IT and Payroll team for further employee process.

Furthermore, the pHRism team supported the stakeholders through test phase activities, during release and post-implementation. Created and maintained documentation for implemented solutions, as well as the support materials to aid the team during development and handover. Fe fundinfo has partnered with pHRism since 2021 for an initial 3 months and they have renewed their services for the next 4 months due to the rapid changes in overall requirements. The entire project took 7 months to complete and we handed it over to different teams, the Core Services Team, IT and Payroll teams, and HR team. Our team explicitly added core settings for the HR team to customize and automate the approval process. The HR team can modify an email template and change the team heads id’s according to regions.
